Storm capacity planner

By Umair Nawaz, founder of Lirevon Updated How we test tools

After a big storm the phone rings faster than your crews can work. Enter your crews and your best guess of the calls. See how long the emergency list takes, how many routine jobs to move to next week, and how many calls nobody will answer. Then copy a ready "we are full until" text and a triage script for whoever answers the phone.

Phone triage script

Estimate only. Based on your inputs, a 7-day storm week and an even spread of calls across the week. Real storms bunch calls into the first two days, so expect the first days to be worse.

How the math works

  • New jobs = storm-week calls × calls that become a job. Emergency jobs = new jobs × emergency share. The rest are new routine jobs.
  • Jobs per work day = crews × jobs per crew per day. Work days to clear emergencies = emergency jobs ÷ jobs per work day, rounded up.
  • Routine room in week 1 = (working days × jobs per day) − emergency jobs. Routine jobs to move = booked routine + new routine − that room (never below zero).
  • Unanswered calls = after-hours calls + in-hours calls above what the office can take (calls per hour × hours × 7 days).
  • Full until = the start day plus the work days needed for every job on the list, skipping your days off.

Questions people ask

How do I guess my storm-week call volume?

Look at your phone log from the last big storm and count calls and texts for the seven days after it. If you have no record, start with a number well above a normal busy week and adjust after the first day.

What counts as an emergency job?

Use your own rule. Many companies treat a tree on a house, roof, car or the only driveway as an emergency. Hanging limbs over a roof or walkway come next. A tree down in the yard that touches nothing is routine.

Why does the planner count after-hours calls as unanswered?

Because nobody is at the desk to pick them up. Without a missed-call text-back or an AI receptionist, those callers hear voicemail, and few people leave one.

Should I push routine jobs to the next week?

If your crews cannot finish emergencies and routine work in the same week, something has to move. Text those customers early with a new date. Many people accept a delay when you tell them before they have to ask.

Is the "full until" date a promise?

No. It is your best guess from the numbers you entered. Weather, equipment and crew sickness change it. Update the text if the date moves.

What should my office say if a power line is involved?

Tell the caller to stay away and call the power company or 911. Tree crews should not work near energized lines unless they are trained and allowed to. The triage script starts with this question for that reason.

Is any of my data sent anywhere?

No. The planner runs in your browser. Your company name and numbers are kept only on this device so they are still here next time. Nothing is sent to us.

How does Lirevon help in a storm week?

The missed-call text-back replies to every missed call within 30 seconds, and the AI receptionist answers the calls your office cannot, takes the address and photos and flags emergencies. You still decide the order of jobs.

How many crews do I need for a storm week?

There is no single number. Try the planner with one more crew and see how many days it saves on the emergency list. Then check what a rented crew, extra climber or subcontractor would cost you before you commit.

How do I decide which storm jobs go first?

Many companies rank by danger first: a tree on a house, a blocked driveway, then hanging limbs, then everything else. Write your own rule down before the storm so everyone on the phone uses the same one.
