How the math works
- Hours: each daytime block is 2 hours and overnight is 8 hours, so a week is 168 hours. Covered hours are the blocks with a person on them.
- Calls per day: weekend share split over Sat and Sun; the rest split over Mon to Fri.
- Calls per block = calls per week × that day's share × that part of day's share ÷ number of blocks in that part of day (2 in the day, 1 overnight).
- Calls in uncovered blocks = all calls in blocks marked Nobody.
- Missed in covered blocks = calls in each covered block × (1 − that person's answer rate).
- Possible lost jobs = all missed calls × (1 − share who try again) × your close rate.
- Possible lost job value = lost jobs × average job value. Month = week × 52 ÷ 12.
- AI receptionist minutes = calls a month in uncovered blocks × average call length.
Questions about after-hours calls
What counts as after-hours for a tree service?
Any time nobody can pick up the phone. For most small tree companies that is evenings, nights, Sundays and often Saturday afternoons. It also includes the middle of the day when the whole crew, owner included, is out on a job.
How do I find out when my calls come in?
Look at your phone carrier or business line call log for the last few weeks. Count calls by time of day: morning, midday, afternoon, evening and overnight. Put those shares into the planner. If you have no log, use the starting points and change them as you learn.
Do I really need someone answering at night?
Not always a person. Most night calls can wait for a callback if the caller gets a quick text or a voice that takes their details. Storm damage and trees on houses are the exception. Many owners keep one on-call phone for those and let a text-back or AI receptionist handle the rest.
What does the answer rate for each person mean?
It is your guess at how many calls that person picks up when they are on duty. An office person at a desk picks up most calls. An owner who is also bidding jobs picks up fewer. A crew lead running a chipper picks up even fewer. Change the numbers to match your team.
Why does the planner ask how many missed callers try again?
Some people call back after a missed call. Many call the next company on the list instead. The planner only counts a missed call as a lost chance if the caller does not try again. Use your own guess; the starting point is low on purpose because few callers leave a voicemail.
How is the number of lost jobs worked out?
Missed calls that never call back, times your close rate. Then times your average job value for the dollar figure. It is an estimate built from your numbers, not a promise of what you would earn.
Should my crew lead answer the phone?
They can cover early mornings or a weekend block, but a crew lead on a job has their hands full and safety comes first. If you put a crew lead on a block, set a low answer rate and plan a backup such as missed-call text-back.
What is the difference between text-back and an AI receptionist?
Missed-call text-back sends the caller a text within seconds after a call goes unanswered, so they know you saw it. An AI receptionist answers the call by voice, asks what they need and can book an estimate. Text-back is a safety net. The AI receptionist is a stand-in for a person.
Can I print the plan for my team?
Yes. Press Print plan. You get the weekly grid, the totals and the suggested plan on one sheet you can pin up in the office or the truck.
Is anything I enter sent to Lirevon?
No. The math runs in your browser. Your grid and numbers are only kept in this browser on this device so they are there next time. Clear your browser data to remove them.
Cover the gaps without a new hire
Every hour covered. Every caller answered.
Lirevon sets up missed-call text-back and an AI receptionist for tree companies, so the calls that land when nobody can pick up still get a fast reply and a booked estimate.
