Missed calls, season by season

By Umair Nawaz, founder of Lirevon Updated How we test tools

Tree work comes in waves, and so do missed calls. Enter how many calls you get in each season and how many you miss. You get the work you may be missing each month, a simple chart, and what a lower missed share could be worth. Every number is yours to change.

1. Calls and missed share by season

Calls per month in a typical month of each season (all incoming calls). The call counts are starting points, change them. The missed share defaults to Invoca's figure of about 27% of calls to home-service businesses going unanswered. Replace it with your own.

Winter (Dec, Jan, Feb)
Spring (Mar, Apr, May)
Summer (Jun, Jul, Aug)
Fall (Sep, Oct, Nov)

2. Storm bump (optional)

3. Your sales numbers

How the math works

  1. Calls in a month = the calls per month for that month's season. In the storm month, the extra storm calls are added.
  2. Missed calls = calls × that season's missed share, plus storm calls × the storm missed share.
  3. Missed job calls = missed calls × the share that are real new job calls.
  4. Jobs missed = missed job calls × your close rate.
  5. Work missed = jobs missed × your average job. The bars show this for each month.
  6. What if = the same math with your target missed share in every month (storm calls too), taken away from today's total.

This is revenue, not profit. To see what a job is worth after costs, use the profit margin calculator.

Questions about seasonal missed calls

How do I know how many calls I get each month?

Look at your phone bill or your phone app call log. Most carriers show calls by date. Count incoming calls for a typical month in each season. If you only have one month, start with that and guess the others, then fix them later.

Where does the 27% missed share come from?

Invoca reports that about 27% of calls to home-service businesses go unanswered. It is a general figure, not a tree-service number and not your number. It is here only as a starting point. Count your own missed calls for two weeks and type in the real share.

Why can I set a different missed share for each season?

Because it often changes. In the busy months the owner is on a job, the crew is up a tree and the saw is running, so more calls go unanswered. In slow months someone usually picks up. Set each season to what you actually see.

What counts as a real new job call?

A call from someone who wants work quoted or done. Leave out spam, sales calls, wrong numbers, suppliers and existing customers checking on a booked job. The share is yours to set; check a week of your call log to find it.

What close rate should I use?

Use your own: of the people who called and got a quote, how many booked? If you do not track it yet, the default here is only a starting point. The estimate win rate calculator or a simple notebook tally will help you find the real number.

Is the money shown here money I lost for sure?

No. It is an estimate of the work that may have gone to someone else. Some missed callers call back, some were never going to book, and some leave a voicemail. Invoca reports under 3% of unanswered callers to home-service businesses leave a voicemail, so most do not wait.

My seasons are not the same as the ones here. What do I do?

The tool groups months as winter (Dec to Feb), spring (Mar to May), summer (Jun to Aug) and fall (Sep to Nov). If your busy time is different, just type a higher call count into the season that holds your busy months. Storm months can be added with the storm bump field.

How do I cut the number of missed calls?

Pick up more, and catch the rest fast. Common ways are a missed-call text that goes out within seconds, someone covering the phone during busy hours, a receptionist service, and calling back every missed number the same hour. The target field shows what a lower missed share could be worth.

What is the storm bump field for?

Storms bring a wave of calls in a short time, and that is when the most calls get missed. Pick the month your storms usually hit and add the extra calls you expect. It is your guess; leave it at zero if storms are rare where you work.

Is anything I type sent to Lirevon?

No. The math runs in your browser. Your numbers are only kept in this browser on this device so the form is filled in next time. Clear your browser data to remove them.
