For tree service owners
How do I keep track of missed calls and callbacks at my tree service?
Short answer
Keep one shared list of missed calls and new leads, and check it at set times each day until every name has a note. A simple list beats memory on a busy jobsite.

The longer answer
A noisy jobsite is a poor place to rely on memory. Write down each missed call with the name, number, time and what the caller said in a voicemail or text.
Check the list at the start and end of the workday. Mark each lead as called back, booked, not interested or waiting. Keep the waiting group small.
If more than one person answers calls, use one shared list so two people do not call the same homeowner, and nobody assumes someone else did it.
On Fridays, look at how many leads still have no reply. If the number is more than a few, change the process, not just the effort. For example, set a rule for who checks the phone at midday.
Keep the list for a month or two. It shows when calls spike, such as after a storm, so you can plan who answers the phone.
