Call script builder for tree companies

By Umair Nawaz, founder of Lirevon Updated How we test tools

Fill in a few details about your company. You get six short phone scripts for whoever answers your phone: new callers, booking an estimate, calling back missed calls, following up on quotes, fully booked days and price shoppers. Plain words, no pressure. Copy or print each one.

1. Your company

2. Your policies

3. Times to offer

Examples only, change them to times you really have open.

Starting-point scripts built from what you typed. Say them in your own words and change anything that does not fit your company. Text in [brackets] is for you to fill in on the call.

How the scripts are built

  1. Listen first. Every new call starts with an open question and lets the caller talk.
  2. Five questions: what, where, how urgent, what hazards, and can they send photos. Then name, number and OK to text.
  3. Your policies fill in the emergency and estimate lines, so everyone gives the same answer.
  4. One clear next step. Booking offers two real times. If neither works, ask what does.
  5. Safety line always. Power lines: stay away and call the power company. Danger: call 911.
  6. No pressure. No fake deadlines, no fake discounts, no talking down other companies.

Want a written price range to share with price shoppers? Try the price guide builder. Want a text for missed calls? Use the text-back script.

Questions about phone scripts

Why does my tree company need a phone script?

A script makes sure every caller gets the same questions and the same clear next step, no matter who picks up. It stops you forgetting the address, the hazards or a way to call back. It also helps new staff sound calm on day one.

Will a script make us sound like robots?

Only if you read it word for word. Use it as a checklist. Say the lines in your own words, listen first, and keep the questions in order. After a week most people only glance at it.

What questions should I ask a new caller?

What they need done, the job address, how urgent it is, what is near the tree (house, fence, car, power lines), and whether they can text photos. Then get their name, best number and permission to text them.

What should I say if a tree is on a power line?

Tell the caller to stay away from the tree and the line and to call the power company. If anyone is hurt or in danger, they should call 911. Do not send a crew near a live line unless your team is trained and allowed to do that work.

Why offer two times instead of asking when they are free?

Two clear choices are easy to answer. An open question often ends in "I will call you back", and many people never do. Only offer times you really have.

How fast should I call back a missed call?

As fast as you can. Invoca reports that under 3% of unanswered callers to home-service businesses leave a voicemail, so call back every missed number, even when there is no message.

How many times should I follow up on a quote?

Check in once or twice, a few days apart, then stop. Ask if they have questions. Do not push, and do not invent deadlines or fake discounts. A polite follow-up is a service, not pressure.

How do I handle someone who only wants a price over the phone?

Be friendly and honest. Explain that price depends on the tree, where it is and what is around it, then offer your estimate option: a visit, photos, or a paid estimate. If they compare companies, tell them what to check, like cleanup, the stump, hauling and insurance.

What do I say when we are fully booked?

Tell the truth and give your real next open date. Offer to put them down for it or call them if a spot opens. If the job is urgent and you cannot help in time, suggest they call another local company. They will remember you were honest.

Can an AI receptionist use these scripts?

Yes, the same questions work for a person or an AI receptionist. Our AI receptionist script builder turns them into instructions for an AI that answers when you cannot.

Is anything I type sent to Lirevon?

No. The scripts are built in your browser. Your answers are only kept in this browser on this device so the form is filled in next time. Clear your browser data to remove them.
